COG-STOCK NEW: Stock Management Module

 

In this release, we have added a new Stock Management module. From an asset lifecycle perspective, this module allows users to see what parts of an asset have been replaced, and when. Thus, providing a truer account of the costs involved in certain tasks.

 

Users can track where stock is which will allow departments to see the value held at each storage location. And as a stock management module, it enables departments to track their inventory and users to issue or reserve items for certain jobs. This then helps the reordering process resulting in departments only ordering what is needed. This itemised way of billing and ordering provides a detailed audit trail to help better manage costs and resources.

 

The new module will have the following components / functionality:

 

- Stock Details View - for viewing/creating a stock item record.

- Stock List View - for querying stock item records and allowing users to perform the following actions to multiple stock items:

Check current stock levels of item

Issue a stock item from the store to a ticket

Register receipt of a stock item

Return a stock item from the ticket and back to the store

Transfer stock items to another store

- Issue or Return Stock via Task Helpdesk / Cost tab

- Issue or Return Stock via Mobile Tasking - there's a new tab in the Ticket Details page which will allow users to search or scan stock items and issue the stock to a ticket as well as return unused stock item back to the store.

- A new Stock Item Level Status Report which displays the number of available stock and uses the RAG colours to identify which stock is below minimum (red), near minimum (amber), and above minimum (green).

 

COG-CLEANING NEW: Recently released 2025 version of the new Cleaning Standards

 

We are pleased to inform you that this version of the system will also be compliant with the new 2025 version of the cleaning standards, recently released.

Ten new elements will be added to your database to keep the system compliant with the auditing section of the document.

Please note, if you have existing elements from ID 51 and above, these will get bumped up to make room for the new cleaning standard elements.

Resolution

Improved the Asset Lookup which now displays the Asset Location, Equip. Type, and Equip. Subtype in the results grid. We have also added the Location and Equip. Subtype in the filters form.

Resolution

Created the new Asset Dashboard which contains the following tabs:

Tickets tab - Displays the number of tickets created, outstanding tickets, and closed tickets for each Asset Type, Equip. Type, and/or Equip. Subtype.

Acquisition tab - Displays the total number of assets per Asset Type, Equip. Type, and/or Equip. Subtype and the total purchase price for the assets.

Status tab - Displays the total number of assets with the active, missing, and/or faulty status per Asset Type, Equip. Type, and/or Equip. Subtype.

Added a "Lifespan (Months)" in the Asset Details / Financial / Purchase tab. This value will be added to the asset "Purchase Date" which will automatically calculate the "Planned Disposal Date" on the asset record.

Resolution

Applied the following changes to the report:

- Standardized the font-size on the report (the font-size is set so the table still fits in A4)

- Added a black border to separate the audit groups

- Configured the report to hide/show the Approved Date, Name, and Signature lines at the bottom of the report based on the "Show Client Signature" parameter

- Configured the report to hide/show the Contractor, Supervisor, and Client columns based on the "Show Client Signature" parameter

- Added extra spacing on the report but still maintains the A4 page size

Automated Report Triggers

Issue / Request

Amend the "Document Expiry" trigger to allow for a "Document Type" filter and list all the documents in one email instead of sending an email per document.

Resolution

Improved the Document Expiry automated report trigger by adding a "Document Type" filter (e.g. Certificates, Policy, etc.) in the trigger. We've also accumulated all the expired documents in a single email instead of creating 1 email per expired doc to avoid spamming the email recipient.

Amended the automated email process to use the same query as the Audit Group List which implements the cleaning standards' way of calculating the star rating % for blended areas wherein if the 'high risk' rooms didn't reach the 'high risk' target, then the area as whole cannot achieve a 5-star rating.

The fields will then appear in the Physical Location - Rooms > Extra Details tab.
