Automated Report Triggers

Issue / Request

Users have reported that they have not received the automated reports after completing audits.

Resolution

Investigated the issue and found that this is caused by having more than 1 report type in the same trigger e.g. Cleanliness Rating - All Groups and Cleanliness Rating- Cleaning Group. Fixed the issue by amending the mail-queue validation process to allow for more than 1 report type to be added to the trigger.

From Document Management, after saving a document, the buttons 'Delete' and 'Download' are disabled. The document can be downloaded from Document Search Engine, but not from here.

Resolution

Fixed the issue, both the "Delete" and "Download" buttons are now activated after saving a new document and also fixed the download process in the Document Management view.

Resolution

Implement a scheduling mechanism so reports can be requested at either specific time intervals (e.g. monthly) or when an event is triggered (e.g. 30 days before contractor documentation expires or when an element has failed in a room 5 times in a row).

Resolution

Added a new trigger "Cleaning: Timed Audit Report" which allow users to set a specific time interval which can send the report every "x" days/weeks/months/years. For example, if you added a "timed audit" trigger for the Performance Monitoring Report and set the interval to 30 days, the system will send an email every 30 days filtered by Signed Off From: (Today - 30 days) and Signed Off To: Today

Issue / Request

The user is unable to add a new monitoring type.

Resolution

Investigated and found the issue was being caused by the "Remedial Template ID" which is unavailable to clients with no access to the Task Management (TM) module. We fixed the issue by hiding the field in the edit form if the logged in user belongs to the client with no access to the TM module.

Issue / Request

Add a "Room Type - Colour" line chart in the Functional Area Trend Dashboard view.

Each of the National Colours should display as a line in the chart and display the overall monthly score.

The results will also need to be displayed in a grid.

Resolution

Moved the Filters Form into a separate tab. These filters also apply to the new National Colour Codes tab. The user can query and view scoring based on colour codes. The information is present in both chart and grid.

Allow for cleaning audits to be assigned to Staff Groups.

Resolution

Allowed users to create a staff group per module e.g. (Cleaning, Survey, and/or Task management) and each staff can be assigned to a group. Configured the audit validation and allowed users to assign an audit or schedule to a staff group. This means when a user who belongs to a group logs in via mobile, they will see all the audits assigned to their group. The user can claim a group by selecting it from the list.

Investigated the issue and it looks like the "Download All" is timing out when there are a large number of tickets with Assessment / H&S / Asset survey. Talked to the client and agreed that the "Download All" button will only download the ticket header information. The rest of the ticket data will get downloaded when the user selects the ticket from the list.

Resolution

Investigated and found the issue; the schedule doesn't have a location value because it is already allocated to an asset record which is already assigned to a location. The ticket creation process however, doesn't recognise the asset location and errors on invalid ticket location. Improved the schedule ticket creation process to check if the asset is allocated to the schedule, get the location from the asset record and assign it to the ticket.

Resolution

Added a "Display Frequencies" filter in the Template List view and added the following actions in the Results grid: Activate/Deactivate, Set Priority, Set Category/Subcategory, Set H&S ID, Set Assessment ID, Set Element ID, Set Questionnaire ID, Set Estimated Time, Set Classification, and Include/Exclude Weekend.

Note, some of the actions are only available if the "Display Frequencies" filter is ticked from the Filter Form.
