Cleaning Structure Risk Scores Report

Issue / Request

"Is there a way to retrieved from your database this info rather than having to add everything up..."

The client provided a sample which includes a score & star rating grouped by site, risk level, and signed off month-year.

Resolution

Created a new report called "Cleaning Structure Risk Scores Report" which displays the score & star rating grouped by structure, risk level, and month-year. Note, the user is allowed to select any location/organisation structure to group by e.g. (Site / Building / Level / Area or Organisation / Directorate).

Thirteen Week Report View

Issue / Request

Rolling Quarterly Summary Report doesn't download the report properly and I get the error from reporting services.

Resolution

Fixed the error in the report download process in the view to only apply the filters that are relevant to the selected report.

Cleaning Action Required Report

Issue / Request

Report change requests:

1. Somewhere in the top part of page 1 information before the fails are itemised, please give the report its title (Cleaning Action Required Report) and publish the location with score % and star rating.

2. In the Contractor column there's a faint "Sign Here". Could you add below it "Date" so that each row can be initialled and dated. Currently, if any sheets are returned late, we have no certainty of when each rectification was completed so my colleague just enters the due date which removes the relevance of reporting.

3. Could the Contractor column be replicated to the right of it, calling it Supervisor (so there's the option for a supervisor / manager to sign off / date individual rows) The Cleaners initial the Contractor rows.

4. Could you add a signature section to the last page for an overall sign-off by one person? Something like "Approved as Complete by" with two lines, one for printing name and one for signature. This will hopefully make it easier for our colleague who can't make out some Supervisors' handwriting so she keeps entering the sign-offs as one particular staff).

Resolution

Applied the following changes to the report:

1. Added a row parent-group and exposed the Audit Group ID, Location Path, Score %, and Star Rating.

2. Changed the "Sign Here" text to "Sign & Date Here".

3. Added a Supervisor column.

4. Added a line at the bottom for users to input the following details: Approved Date, Approved By (Name), and Signature.

The issue was caused by the blended-risk calculation on the query used by the audit download process. We fixed the issue by optimising the query and excluding the inactive rooms from the blended-risk calculation.

Mobile Cleaning

Issue / Request

"...audits have a large number of elements missing from rooms which has affected the individual scores"

Resolution

Added extra guard-logic around the mobile upload process. If the audit has already been 'auto-expired' by the system (as configured in the Risk Level), then the upload process should skip the audit to prevent users from overwriting audits that have already been signed off.

Move the tabs from the "Contract Details" to the "Company & Contacts View > Contracts tab" and remove the "Contract Details" view from the menu.

Resolution

Merged the tabs from the "Contract Details" view to the "Company & Contacts" view. The contract related tabs are only activated when the "Contractor" type is activated against the company record. The main "Contract Details" view has been deactivated.

"...an audit is showing a percentage of 103%..."

Resolution

The issue was triggered by an audit assigned to an inactive room. The user managed to deactivate a room with an outstanding audit record against it. We fixed the issue by applying a validation on the room deactivation process - if there is at least 1 outstanding audit against the room, then the user will need to complete the audit first (e.g. mark the audit as "Not Done - Created In Error) before they can deactivate the room.

"I am trying to move a room from inactive to active but even though the box is ticked on room view, on room list view it still states active as no and is highlighted in blue text."

Resolution

The room is showing as inactive because the room previously belonged to an inactive functional area, therefore the "location active" flag is unchecked. Fixed the room update process. If the room was moved to another location, then the process should update the room data's location path, tier, and location active state.

1. Creating a room item --> When the item has been saved, it was expected to have the list of corrective actions and failure reasons displayed at the bottom, but nothing happens. A manual re-load of the item is needed in order to see them

2. Trying to delete an item generates a 405 error.

Resolution

1 - Improved the save process, load the child stores (e.g. corrective action store, failure reaosn store, etc) after a successful save.

2 -Fixed the delete process, if the record is not linked to another record in the database and the user has the correct security permissions, then the user can delete the room type/room item record.

For any node at any level, if you expand/collapse/expand the node, the application gets stuck in a loop of loading masks trying to load and I have to close the view.

Resolution

The contractor is unable to sign in to tasking.

Resolution

The contractors were originally not allowed access to the mobile application as they can action their tickets via the Task Management Portal. However, for scenarios where the contractors are allocated in-house tickets and they need to complete the H&S checklist, Assessments, and/or Elements we have amended the mobile app login process to allow contractors to login to the mobile app if they have the correct security permissions and have registered a device token to the main application.

Issue / Request

The client has reported that they are missing some tickets for June 01, 2024.

The issue was caused by the "Exclude Weekend" flag in the template. The 01/06/2024 fall on a Saturday so the projection has set the planned date to the nearest weekday (Friday - 31/05). The schedule process then skipped the 31/05/2024 projection because the date is less than the frequencies' next due date.

Resolution

Resolved the issue by adding an extra rule in the "Exclude Weekend" planned date calculation - if the planned date landed on a weekend e.g. 01/06/2024 (Saturday) and the process nearest weekday (Friday - 31/05) is not on the same month as the original planned date, then allocate the planned date instead to Monday - June 03 so the new planned date will be on the same month as the original planned date.

"In the Task Allocation View if we filter by Task Type ID or Template ID alone, we can see Trades names on the righthand side for ‘Drag & Drop’ allocation.

However, if we filter by site alone, we lose the option to allocate to the Trades as they disappear from the righthand side view."

Resolution

Investigated & found the issue in the way we apply the location filter on the ticket & staff lists. Fixed and improved the query used by the ticket and staff list and made sure that both queries apply the location filter if selected by the user.

Auto-allocate all the asset survey to the first user allocated to the ticket.

Resolution

Improved the ticket allocation process. All the survey records (e.g. Assessment or Elements) are automatically allocated to the first person assigned to the ticket. This means if the ticket is allocated to a second person, the second user can only log off & off the ticket and will not see the Assessment / Element surveys associated to the ticket.

When double clicking on a staff with one or more tickets allocated, the view shows a tab with the tickets for that staff. After that if double click on a staff with no tickets, the tab dissapear but the grid below stayed greyed out with the previous staff data, shouldn't the data also clear?

Amended the staff-selection process to clear the grid each time a staff is selected from the list before loading the tickets allocated to the staff.

Issue / Request

The Health & Safety questions come up when trying to add events to a contractor ticket.

Resolution

This is by design as agreed in the beginning that the H&S checklist must be filled in before any work can be logged on the ticket. However, we acknowledge that this is not always the case for all the tickets in the system e.g. in-house tickets allocated to contractors. To resolve this, we added a flag in the task type to indicate if the H&S checklist is required for contractors. If the flag is checked, then the contractor must fill in the H&S checklist, otherwise skip the process and proceed with the ticket event login.

Add the "Documents" tab in the view to allow users to upload documents (e.g. Service Sheets, etc.) to Tickets whilst actioning them. Also add a new column in the Ticket List view to identify tickets with associated documents.

Resolution

Added the Documents tab in the Task Manual Feedback view. When The user uploads a service sheet document, the system will pop-up a message to ask whether the user wants to tick the "Received Contractor Report" flag  so the user can add their event and close the ticket all in one view.
